DebtChaser Pro ("we", "us", "our") is operated by JMS SAAS LTD, a company registered in England and Wales (company number 17212760). JMS SAAS LTD is the data controller for personal data processed via DebtChaser Pro. This policy explains how we collect, use, and protect your personal data when you use our platform. We are committed to safeguarding your privacy and ensuring that your data is handled responsibly and in accordance with applicable data protection laws, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Data We Collect

We collect the following types of data when you use DebtChaser Pro:

• Account information — your name, email address, and company details provided during registration.
• Invoice and customer data — invoices, customer contact details, and related records that you upload or sync from your accounting software.
• Payment records — payment history and status information associated with your invoices.
• Cookies — small data files stored on your device to maintain your session and (with your consent) to support analytics. See Section 8 for more details.
• Usage data (analytics) — anonymised information about how you interact with our website (pages viewed, approximate location at country level, device type, referring source). Collected via Google Analytics 4; we do not combine this with directly identifying information.

3. How We Use Your Data

We use the data we collect for the following purposes:

• Provide the service — to operate DebtChaser Pro and deliver its core functionality, including invoice management, dashboard views, and reporting.
• Send chase emails on your behalf — to generate and deliver automated invoice reminder emails to your customers as configured by you.
• Calculate credit risk scores — to assess the creditworthiness of your customers using available data, helping you make informed decisions.
• Sync with accounting software — to connect with third-party platforms such as Xero and import your financial data.
• Send service emails — to deliver essential communications such as welcome emails, password reset requests, account notifications, and important service updates.

4. Third-Party Integrations

DebtChaser Pro integrates with the following third-party services to deliver its functionality:

• Xero — we connect to your Xero account via OAuth 2.0 to perform read-only synchronisation of invoices, contacts, and payment data. We do not modify any data in your Xero account.
• Stripe — we use Stripe to generate payment links that you can include in chase emails, making it easy for your customers to pay outstanding invoices.
• Companies House — we access publicly available company data from Companies House to support credit risk assessments and company verification.
• Resend — we use Resend as our email delivery provider to send chase emails and service communications on your behalf.
• Sentry — we use Sentry for error tracking and monitoring to identify and resolve technical issues, ensuring a reliable service.
• Google Analytics 4 (Google LLC) — we use Google Analytics 4 to collect anonymised usage data about how visitors interact with our website (pages viewed, approximate location at country level, device type, traffic source). Google processes this data as a data processor on our behalf. Data may be transferred to and stored on Google's servers outside the UK, subject to appropriate safeguards (UK International Data Transfer Agreement / EU Standard Contractual Clauses). 5. Data Storage & Security

Your data is stored securely on UK-hosted infrastructure provided by Railway. We use a PostgreSQL database with the following security measures in place:

• All data is encrypted at rest and in transit using industry-standard encryption protocols.
• Access to production systems is restricted to authorised personnel only, with strict access controls and authentication requirements.
• We regularly review and update our security practices to protect against unauthorised access, disclosure, alteration, or destruction of your data.

6. Data Retention

We retain your data in accordance with the following practices:

• Active accounts — your data is retained for as long as your account remains active and you continue to use the service.
• Account deletion — upon request, we will delete your account and associated data within 30 days. To request deletion, contact us at james@debtchaserpro.co.uk.
• Backups — backup copies of your data may be retained for up to 90 days after deletion to support disaster recovery, after which they are permanently removed.

7. Your Rights

Under the UK GDPR, you have the following rights regarding your personal data:

• Right of access — you can request a copy of the personal data we hold about you.
• Right to rectification — you can request that we correct any inaccurate or incomplete data.
• Right to erasure — you can request that we delete your personal data, subject to any legal obligations we may have to retain it.
• Right to data portability — you can request a copy of your data in a structured, commonly used, and machine-readable format.
• Right to object — you can object to the processing of your personal data in certain circumstances.

8. Cookies

DebtChaser Pro uses two categories of cookies:

• Strictly necessary cookies — one session cookie that keeps you signed in. It is required for the platform to recognise you as a logged-in user and is therefore not subject to consent under the UK Privacy and Electronic Communications Regulations (PECR).
• Analytics cookies — we use Google Analytics 4 (gtag.js, Measurement ID G-W0Y2BD1BWZ) to collect anonymised, aggregated usage data so we can understand how visitors find and use our website. Google Analytics sets cookies in the _ga / _ga_* family on your device. The data is processed by Google LLC as our data processor and is not used for advertising. Analytics cookies are subject to consent under PECR.

We do not use advertising cookies, and we do not share cookie data with advertisers.

The first time you visit DebtChaser Pro a banner asks whether you accept non-essential (analytics) cookies. You can change your choice at any time by clicking the Cookie preferences link in the footer. You can also opt out of Google Analytics specifically by installing Google's browser opt-out add-on, or by enabling "Do Not Track" / blocking third-party cookies in your browser settings. We remember your choice on your device only and will ask again if our cookie practices change.

We may update this privacy policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make changes, we will update the "Last updated" date at the top of this page.
